Founded in 1905, Princeton University Press is a nonprofit publisher with close connections to Princeton University. The Press brings influential voices and ideas to the world stage through their academic scholarship, advancing the frontiers of scholarly knowledge and promoting the human conversation.
OVERVIEW
The Brief
Designated have been involved with Princeton University Press since 2016, helping to organise their annual drinks reception for staff and guests of their Europe Office. 2019 also marked the 20th anniversary of this office and so a few extra flourishes were to be added.
After an initial conference call with the main contact at PUP, the Designated Events team established that they already have a successful relationship with their regular venue – The Foundling Museum in London – and so our role was to source and liaise with all other suppliers for food, drinks and staff.
Scope of work
As the format is almost identical each year, our challenge was to ensure costs remained within the client’s budget, add value where possible and provide a sole liaison between the client and the suppliers, including being present on the night.
After speaking to various potential suppliers, we were able to provide cost savings for the client in certain areas, which helped to mitigate natural year on year cost increases elsewhere.
Results
From organising a celebratory cake to honour the 20th anniversary, to creating relevant artwork, our team ensured the entire event ran smoothly. Ongoing communication with the caterers and drinks supplier ensured that everything and everyone arrived at the venue on time. Whilst the venue and the caterers were both highly professional themselves, our presence on the night ensured that the client still had one main point of contact for any last-minute queries that arose.
The outcome was a smoothly run, successful event and a very happy client.
